As a leading international industrial engineering firm specialising in the agro-industry – including the biofuels, green chemistry and fertiliser sectors – De Smet Engineers & Constructors (DSEC) is constantly seeking solutions for its clients that combine excellence in execution, safety, reliability, energy efficiency and sustainability.
It is within this framework of continuous improvement – a hallmark of quality for the De Smet Group – that a project to replace and optimise their Electronic Document Management (EDM) and archiving solutions was undertaken to deploy a more modern solution: M-FILES.

The main challenges:

• To have real-time access to documentation from anywhere to boost productivity
• To optimise internal communication and exchanges with external partners via an interactive platform in order to focus on the added value of projects
• Ensuring project traceability and the security of company data to improve efficiency
• Providing a solution easily accessible to all user profiles to guarantee the quality of the work carried out

The scope of the project:

• Document management for project delivery and tender management (editing, sharing, reviewing, etc.)
• Establishment of an international document repository (document library, templates, procedures, instructions) to standardise the document framework
• Constant focus on efficiency and responsiveness during document approval through tailored workflows
• Internal and external sharing of project documents

• To carry out a pilot phase of significant importance for future users, enabling them to familiarise themselves with the solution and approve its final deployment
• To implement business-specific customisations for DSEC, thanks to the solution’s open architecture
• To initially structure a strategic repository covering project execution and tender management
